BOMwatch keeps your ingredient stock right in Xero, tells you how many of each product you can make, and adds allergen, lot and batch records, for food and drink producers.
Xero knows what you bought and what you sold. It does not know what goes into each product, which lot an ingredient came from, or what allergens a recipe carries. Most producers fill the gap with spreadsheets, which fall out of step, and the day you need them, a shortage, a recall or an audit, is the day they are wrong.
You sell a finished product, but the ingredients and packaging it used do not come off your stock, so Xero says you hold more than you do.
Finding every batch that used a supplier lot means digging through delivery notes and production sheets.
A supplier changes an ingredient, a recipe is tweaked, and the label is not updated.
Keep your recipes in a simple Google Sheet. BOMwatch reads them, reads your live stock from Xero, and does the sums for you.
See the number of each product you can make from the ingredients and packaging on the shelf, and which ingredient is holding you back.
When you sell a finished product in Xero, BOMwatch takes the ingredients and packaging it used off your Xero stock, every hour or at the touch of a button.
Make 40 litres of soup, log a production run, and BOMwatch moves your Xero stock for you: ingredients down, soup up. The products that use that soup then show what you can really make.
Set what counts as low or critical, and BOMwatch flags the ingredient that is about to limit what you can make, before it becomes a missed order.
A live dashboard and a short written summary of your stock position, with a snapshot you can export for your records.
Check your stock from any device, with no software to install and nothing to run yourself.
The same recipes drive an allergen matrix and a lot and batch record. BOMwatch adds the layer that Xero does not have.
Mark the 14 declarable allergens on each ingredient, as "contains" or "may contain". BOMwatch works out every product's allergens from its recipe, including products made from other products, and flags ingredients you have not reviewed. Print it as a PDF.
Record each delivery with the supplier, their lot code, quantity and date. See what is expired or expiring soon, and compare your lot register with Xero's stock.
Say what you made and how much. BOMwatch suggests the ingredient lots to use, oldest best-before first, and never suggests expired or quarantined lots. Change the suggestion if you used different ones.
Pick any lot or batch and see where it came from and which batches it went into, even through several stages of production. Print it or download it as a spreadsheet.
Put a suspect lot on hold so it cannot be used. Correct a quantity or date with a reason, or void a batch entered by mistake. Ingredient quantities go back into their lots.
Every receipt, use, correction, hold and allergen change is kept in a history you cannot edit, with the person and the time.
An example, with made-up data: a supplier tells you tomato lot T-0905 has a problem.
BOMwatch helps you keep good records. It does not make you compliant on its own.
We are building this with producers. Tell us what matters most and it moves up the list.
No. Xero remains your accounts and your stock quantities. BOMwatch works on top of Xero: it keeps ingredient stock right and adds the lot, batch and allergen records.
No. The stock side works on its own: live stock, how many you can make, automatic ingredient deductions and alerts. The allergen, lot and batch records are an optional extra, switched on in Settings.
It reads your items and stock levels. To keep ingredient stock right it posts zero-value documents under its own contacts: a zero-value sale that takes ingredients off stock when you sell a product, and, for a production run, a zero-value sale and bill that take ingredients off and add the item you made. No money moves, and you preview every production run before it is posted.
No. The lot, batch and allergen records are kept in BOMwatch only. Xero stock moves through BOMwatch's sales sync and, if you use them, production runs.
From a Google Sheet that lists each product and the ingredients and quantities it needs. Setting it up takes about 15 minutes and we will help.
It can hold the same information: lots in, batch made, which lots used. Keep your paper process until you are confident, then switch.
No. Auditors decide what records they accept. BOMwatch is designed to produce the kind of records they ask for, such as lot codes, best-before dates and trace-back.
